Making Nielsen‘s meeting scheduling process seamless

The Story
Before Microsoft Teams was introduced, Microsoft Skype for Business was an instant messaging and video conferencing application that was popular among enterprises. Nielsen was a heavy user of Skype for Business to host frequent training sessions, webinars and conference calls among multiple teams within the organisation.
They also used G-Suite as their office productivity software while Google Calendar was their preferred choice for scheduling these meetings.
Nielsen‘s Objectives
- Automate meeting scheduling between Skype for Business and Google Calendar.
- Integrate the two platforms.
- Simplify the scheduling process for the entire organisation.
Challenges and Solutions
Challenge
As they were using 2 different products that were not connectable with one other, scheduling calls and sending invites had to be handled as two separate processes. The challenge was that the APIs of these 2 products did not support an integration between each other.
Solution
We devised a simple, but effective Google Chrome extension.
Challenge
Previously, meeting hosts were required to first set up calls on Skype for Business and then manually paste the meeting URLs into Google Calendar before they could send invites to participants.
Solution
The two-step manual process was unified into one simple automated step. Once the Google Chrome extension was installed, users were able to schedule Skype for Business calls instantly via Google Calendar at the click of a button.
Challenge
Since the organisation was large, had thousands of employees, multiple locations globally, the frequency and volume of calls that required to be scheduled were high. It created many complexities and difficulties of scheduling and notifying people about meetings.
Solution
We provided the extension in collaboration with Microsoft bundled with Microsoft Office365 licenses.
